SaneBox Keeps my Inbox Clear and my Heart Rate Down (Friday Toolkit Preview)

Quick Note: This is a new newsletter series I started on Friday called “Friday Toolkit.” Each month I will go in-depth with one of my recommendations – how I use it and why I think it’s useful. I’ve decided to make the first one public. If you like it, you can sign up for my newsletter using the form in the sidebar, or below.

I’ve been thinking of doing something like this for a while, but haven’t pulled the trigger. I want to thank SaneBox for partnering with me to push me over the edge. This first edition of The Friday Toolkit is brought to you by them; I chose SaneBox as the partner because I’ve been using them all year and am a huge fan. I’m excited to share a little bit more about them.

What Is SaneBox?

SaneBox is a cloud-based service that helps automatically manage your inbox. The cloud-based bit is actually important here because it’s not an app – it works with whatever email service and app you already use.

It will, based on your habits and management, make educated guesses as to how it should sort your email. The longer you use it, the smarter it gets. And that means that only the important stuff will hit your actual inbox. Everything else gets sorted out of the inbox, for you to review at your leisure.

This also means that when there’s a lot of stuff (read: more than 10 items) in my inbox, I get a little stressed. When I see other people’s inboxes I get stressed. Too much scrolling!

So I would end up tending to my inbox multiple times per day just to keep it clear. That’s a lot of manual management I don’t really need to do. And with SaneBox, I don’t have to anymore.

3 Features I Can’t Live Without

Now, SaneBox has a HUGE amount of features, so I want to tell you about 3 I can’t live without:

  1. Training. This is where all the automation comes in. Move an email to a folder and SaneBox will remember what you do. Even better, it will make decisions based on how you process email. That means most of the time, my email is automatically sorted the way I’d like it to be. One great example: I created a SaneMoney folder. Any receipts automatically go there thanks mostly to Training.
  2. Filters. For times when it’s hard to train or you want specific actions, there’s filters. You can filter by domain, specific email address, subject and much more. To make sure SaneMoney really got all the proper emails sent there, I set up a couple of keyword filters.
  3. The SaneBlackHole. This is where email goes to die. Vanquish email to the SaneBlackHole and never see it again. It’s better than unsubscribing because even if you get put on a separate list, you’ll never see email from that sender again!

Plus there are lots of other must-have features for me. Reminders that come back to my inbox later, snoozing email, and other things that are usually tied to a specific email client.

Special Offer!

Because I’ve partnered with SaneBox on this very special first Friday Toolkit, they are giving you a special offer: a 14 day FREE Trial + $25 towards a subscription. You just need to sign up at https://www.sanebox.com/casabona.

There were two notable things I did this weekend: spend it with my kids, as it was my wife’s weekend to work (she’s a nurse and must work one weekend per month), and build a series of clever automations using Apple’s Shortcuts app. I love using the Bear Notes app for most things, like quickly logging tasks….

I’ve begun the process of moving my entire operation from Airtable to Notion, and while most of it has been smooth sailing, soon I’m starting what will likely be the most difficult move: my podcast production process. It’s been nearly 15 years since Christopher Nolan’s mind-bending film Inception came out, and I still think about it regularly. He’s hired to do the opposite — plant…
